Payment Policy
At Alpha Dental Studio, we strive to provide excellent services to our clients while ensuring that our business operations run smoothly. In order to maintain a healthy and sustainable relationship with our clients, we have established the following payment policy:
- Payment Terms: All appointments must be paid prior to booking.
- Payment Methods: We accept the following payment methods: UPI, Cash, Credit/Debit card (VISA,MASTER, RUPAY etc) and American Express. All payments must be made in INR.
- Cancellations: Patient must provide at least 48 hours’ notice if they wish to cancel an appointment. Please refer to our cancellation policy for more information.
- Payment Disputes: If you have any questions or concerns regarding an invoice or payment, please contact our billing department immediately. We will work with you to resolve any disputes in a timely and professional manner.
- Refunds: Refunds will be issued only if there is a valid reason for the refund, such as a mistake on our part or a cancellation of services, less any incurred costs. Refunds will be issued within 10 working days of the request being approved.

Cancellation Policy
At Alpha Dental Studio we understand that sometimes unexpected events can occur, and appointments need to be rescheduled or cancelled. We want to ensure that all our patients receive timely and high-quality dental care, which is why we have a cancellation policy in place.
Cancellation Policy Details
- Patients must provide at least 48 hours’ notice to cancel or reschedule their appointment. This allows us to schedule other patients who may need care and helps us avoid unnecessary delays.
- Emergency situations that prevent a patient from attending their appointment will be considered on a case-by-case basis.
- Patients who repeatedly miss appointments or fail to provide notice of cancellation may be denied future appointments.
Cancellation Policy Communication
Our cancellation policy will be communicated to patients, and reminders will be sent via email, text message or phone call prior to their scheduled appointment. Patients who wish to reschedule or cancel an appointment should contact us as soon as possible by phone, email, or text message.

Code of Practice for Handling Complaints
In this practice we take complaints very seriously and try to ensure that all patients are pleased with their experience of our services. When patients complain, they are dealt with courteously and promptly so that the matter is resolved as quickly as possible.
Complaints Made To The Practice
- The person responsible for dealing with any complaints about the service is Dr. Zeenath
- If a patient complains on the telephone or at the reception desk, we will listen to his or her complaint and offer to refer him or her to Dr.Zeenath. The member of staff will take brief details of the complaint and pass them on. If we cannot arrange this within a reasonable period or if the patient does not wish to wait to discuss the matter, arrangements will be made for someone to deal with it.
- If the patient complains in writing the letter will be passed on immediately to Dr. Zeenath.
- If a complaint is about any aspect of clinical care or associated charges it will normally be referred to the dentist, unless the patient does not want this to happen.
- We will acknowledge the patient’s complaint including a copy of this Code of Practice within three working days. You will be invited to discuss your concerns; we will seek to investigate the complaint within the agreed response period of the complaint being received to explain the circumstances which led to the complaint. If we are unable to investigate the complaint within this agreed time period, we will notify the patient, giving reasons for the delay and a likely period within which the investigation will be completed.
- We will confirm the decision about the complaint in writing immediately after completing our investigation. This will be within 10 days of the compliant received.
- Proper and comprehensive records are kept of any complaint received.
- Alpha Dental Studio welcomes all complaints; any patient that makes a complaint will not be adversely treated due to having complained. If you do not wish to complain directly to the Practice you can address your complaint directly to the relevant body.
- Should a patient make a complaint or claim, we may need to provide information about the patient, and treatment they have received, to insurers, indemnifiers or legal advisers.
Complaining to Dental Complaints Service
We hope that, if you have a problem, you will make use of our practice complaints procedure. We believe this will provide the best chance of putting right whatever has gone wrong and an opportunity to improve our practice. However, this does not affect your right to complain to an independent body, if you feel you cannot raise your complaint with us or you are dissatisfied with the result of our investigation.

Cross Infection Control
Our dental team are all very aware of the need for scrupulous cross infection control and sterilisation, and the following protocols are stringently followed:
- Masks and gloves are worn at all times when treating patients.
- New gloves are worn for each patient.
- Operators’ hands are washed with a disinfectant wash between patients.
- All work surfaces are wiped down with disinfectant wipes after each patient.
- All instruments are stored in cassettes and passed through a cleaning and sterilisation procedure in the cassette. To do this we use the latest technology steam autoclave for sterilisation. The autoclaves work at 134°C and have been shown to kill all bacteria, viruses and spores.
- The hand-pieces (drills) are all autoclaved after every use.
- The autoclaves themselves are serviced and checked regularly.
- Endodontic files are used for a single root canal treatment of a patient and then are disposed.
We regularly review our cross infection measures and ensure we meet the government standards.
Our Quality Assurance System
What is a quality assurance system?
When the term ‘quality assurance system’ is used, it means a formal management system used to strengthen an organisation by providing support on a one to one basis for every member of the team. It is intended to raise standards of work and to make sure everything is done consistently. A quality assurance system sets out expectations that a quality organisation should meet.
Alpha Dental Studio quality assurance programme
We as an organisation want to provide the best services possible for our patients and for other stakeholders who have an interest in what we do. As each of our practices deals with members of the public on a day to day basis, we wish to show that each of these provide quality services and manage their patients efficiently and effectively.
We are proud to have in place our own Quality Assurance Programme which we feel is second to none. Our Quality Assurance & Support Lead visits every practice on a regular basis monitoring and providing support to maximise both clinical quality and conformation to guidelines.
We believe strongly in self-reflection and the opportunity for every member of our team to voice their own opinions. In view of this, detailed appraisals are carried out for every staff member. The group manager is always present at the appraisal to ensure that it is a fair process.
Quality Council of India (QCI)
QCI has been established to create a mechanism for independent third party assessment of products, services and processes. It plays a pivotal role at the national level in propagating, adoption and adherence to quality standards in all important spheres of activities including education, healthcare, environment protection, governance, social sectors, infrastructure sector and such other areas of organized activities that have significant bearing in improving the quality of life and wellbeing of the citizens of India.
We are working towards getting Accredited with NABH very soon.
Zero Tolerance Policy
The practice is committed to providing a safe working environment by minimising the risk of violent and aggressive behaviour at work.
The Practice takes it very seriously if a member of staff is treated in an abusive or violent way.
All our staff have a right to care for others and provide services without fear of being attacked or abused.
All our staff aim to be polite, respectful, helpful and considerate of all patients’ individual needs and circumstances. If individual requests cannot be met, an explanation will be provided where possible.
We expect those attending the clinic and or on the phone to the clinic to act in a reasonable manner and take note of the types of behaviour that we would not tolerate and find unacceptable:
- Verbal abuse such as using bad language or swearing at staff and bad gestures
- Any physical violence such as pushing or shoving
- Violating a staff member’s or clinician’s personal space
- Racial abuse and sexual comments or harassment
- Persistent or unrealistic demands that cause stress to staff
- Causing property damage or stealing from the practice or anyone in the practice
Any person found to be acting in a violent or abusive manner or engaging in the above types of behaviours will be asked to leave the premises and in extreme cases, the Police may be contacted.
The Practice reserves the right to consider removal of the patient or patients in the same household from the practice list with immediate effect. A good patient-practice relationship is based on mutual trust and respect and allows for good patient care. Where this has been irretrievably broken due to unacceptable behaviour, it is in the patient’s interest just as much as that of the practice, that they should find a new practice.
